Publishing and Sending a Service Report

To open the Marketing or Closing service report: On the Schedule menu, under Today's Business, click Service reports. Select the report to view and click the View or edit action menu item.

After creating a closing or a marketing service report, you can publish it and send it to your contact by email. If you prefer, you can choose to only publish the report. For more information, see "Publishing a Service Report".

To publish and send a service report

  1. Open the Marketing or Closing service report you wish to print and send to a contact.

  2. Click the Publish and send action menu item.

  3. NOTE: You are prompted to create your customer web page only if you chose to be prompted to do so every time you publish or send a service report. For more information, see "Setting up a customer web page".  

  4. Type the content of the email or use one of the email templates. More Info:

    1. From the Categorydrop-down list box, select a template category.

    2. From the Template drop-down list, select the template.

    3. Click Use this template.

  5. Enter the name of the recipients. More Info:

    • Type the recipients' email addresses, separated by a semi-colon (;) into the To, Cc Short for Carbon Copy: The Cc field is to specify secondary recipients who will receive 'carbon copies' of the email., and Bcc Short hand for 'Blind Carbon Copy'. Similar to the Cc field except that these recipients are invisible to other recipients. This means that primary and Cc recipients can not see that the message has also been sent to the Bcc recipients. fields.

    • Click To, Cc, or Bcc and select recipients from your address book.

  6. Click Attachments to attach a file, such as a picture, to the email. More Info:

    1. Click Attach file.

    2. Locate the file to attach and click Open.

  7. Optionally insert additional content into the email. More Info:

    • To insert your signature at the current cursor position, click Insert signature. To create or customize your signature, see "Creating a signature".

    • To merge a picture into the body of your email message when printing or sending this email, click Insert picture merge code. This option is only available in HTML mode. For more information, see "Inserting a picture into an email message".

    • To insert specific contact or agent information into the email, click Insert merge code and select the merge codes to insert.

    • To insert a link to this service report at the current cursor position, click Insert service report link.

    • To insert a marketing link at the current cursor position, click Insert marketing link.For more information on marketing links, see "Marketing links".

    • To remove the contents on this message, click Clear message.

  8. Click Next.

  9. Top Producer 7i checks the email addresses to ensure that they have the proper syntax and they do not have an unsubscribed email status. If there are any recipients with an unsubscribed email status, they are removed from the list and are displayed in a dialog box. Review this list and select the check box next to the contacts who you wish to add back to the email.

  10. Click Send.
