Sending a presentation

To open the Presentations page: On the Presentation menu, click My presentation.

Follow the steps below to send a previously created presentation. Once you send a presentation, it is converted into a .PDF file format and published to the Web.

To send a presentation

  1. On the Presentations page, select one or more presentations.

  2. From the action menu, click Send.

  3. Note: If the contact does not have an email address, you are prompted to add an email address to the contact record. "

  4. If you are sending a CMA, Buyer Presentation or a Community report, select your publishing options. More Info:

    1. Select the presentation's size: A small presentation takes up less space in your storage area on the Web. However, the presentation's quality diminishes when you choose a smaller file size.

    2. Select the pages to publish: If you choose the Selected pages option, you need to select the pages to publish. To select multiple pages, press CTRL and click on the pages.

    3. Click OK.

    If you are sending a Home Market report, specify how you want to send this report. More Info:

  6. On the Send [presentation] page, optionally do the following:

  7. If necessary, modify the message in the main editing area. You can use the toolbar commands to format your message. For details on using the HTML editor, see HTML editor commands.

  8. Optionally insert additional content into the email. More Info:

    • To insert your signature at the current cursor position, click Insert signature. To create or customize your signature, see "Creating a signature".

    • To merge a picture into the body of your email message when printing or sending this email, click Insert picture merge code. This option is only available in HTML mode. For more information, see "Inserting a picture into an email message".

    • To insert specific contact or agent information into the email, click Insert merge code and select the merge codes to insert.

    • To insert a link to this presentation at the current cursor position, click Insert presentation link.

    • To insert a marketing link at the current cursor position, click Insert marketing link.  For more information on marketing links, see "Marketing links".

    • To remove the contents on this message, click Clear message.

  9. Click Next to proceed to the View or edit email for [contact] page, where you can edit each recipient's email message.

  10. When only sending the presentation to one contact, this step may be redundant, but for multiple recipients, it allows for personalization. Click Previous and Next to change between recipient's emails.

    Top Producer 7i checks the email addresses to ensure that they have the proper syntax and they do not have an unsubscribed email status. If there are any recipients with an unsubscribed email status, they are removed from the list and are displayed in a dialog box. Review this list and select the check box next to the contacts you wish to add back to the email.

  11. Click Send.

  12. The CMA or Buyer presentation is published and an email is sent to the contact(s).
